Process Automation for Contractors
Stop running your business out of a group text and a whiteboard
We map how work actually moves through your company — lead to estimate to approval to build to invoice to payment — then automate the handoffs so nothing falls through the cracks and you're no longer the only person who knows what's going on.
What changes in the first 90 days
Admin hours disappear
Job info gets entered once and flows everywhere it needs to go — no more re-typing the same details into three systems.
Jobs stop getting stuck
Every stage has an owner and a trigger. When an estimate is approved, scheduling, materials, and invoicing kick off on their own.
You can see the whole business
One dashboard: open leads, jobs by stage, cash in and out — without asking anyone for an update.
What we map, build, and train
We work inside the tools you already use wherever possible. New software is a last resort, not a first step.

Workflow audit and process map
A 90-minute session that documents how work really flows today and where it breaks.
Lead intake and follow-up
Every call, form, and referral lands in one place and gets an automatic response and assignment.
Job-stage triggers
Estimate sent → approved → scheduled → in progress → invoiced → collected, each step firing the next.
Templates and e-sign
Contracts, change orders, and certificates of completion generated and signed without printing.
System integrations
CRM, job management, accounting, and scheduling connected so data is entered once.
Owner dashboard
Leads, jobs, crews, and cash on one screen, updated automatically.
SOPs and team training
Written procedures and hands-on training so the system survives staff turnover.
30-day tuning
We stay on after launch to fix what the real world breaks and adjust as your team uses it.
Frequently asked questions
Which software do you work with?
HubSpot, QuickBooks Online, and the job-management, photo, and scheduling tools most contractors already use, connected with standard automation platforms. If you're on something else, we'll evaluate it in the audit.
Do we have to switch systems?
Usually not. Most of the value comes from connecting and configuring what you already pay for. If a tool is truly the bottleneck, we'll say so and show you the cost of switching versus staying.
How long does setup take?
The audit takes one session. A typical build takes a few weeks, followed by 30 days of tuning. Larger integrations are scoped separately.
What does it cost?
A fixed setup fee based on what the audit uncovers, with an optional monthly support plan. Bundled pricing is available with Sales & Marketing and Bookkeeping.
Do you train our staff?
Yes. Every build includes written SOPs and live training for the people who will use the system daily, plus a recorded walkthrough for new hires.
We're small. Is this worth it?
If you have an office person or an owner spending more than a few hours a week on re-typing, chasing updates, or building the same documents by hand, it pays for itself quickly. The audit will tell you honestly if it doesn't.
